When will I know the vessel name? What documents will I receive? And what should I prepare before the vehicle arrives?

I am Yuichiro Watabe, President and CEO of EVERY TRADING Co., Ltd. Since establishing our company in 2006, we have supported customers in more than 100 countries with Japanese used vehicles, including trucks, cars, buses, farm tractors, and machinery.

In this article, I would like to explain what normally happens on the Japan side after you buy a used vehicle and why good communication during this stage is just as important as choosing the right vehicle.

What Happens Immediately After You Buy the Vehicle?

Once the vehicle, price, destination, and transaction conditions have been agreed upon, we issue the necessary invoice and proceed according to the agreed payment terms.

After payment is confirmed, the transaction moves from the purchasing stage into the export and shipping stage.

This is an important change.

Before payment, most conversations are about the vehicle itself: model, year, mileage, condition, specifications, price, and destination. After payment, our attention shifts toward preparing that vehicle to leave Japan correctly.

That includes shipping arrangements, export procedures, documentation, and communication with the customer.

If you would like to understand the purchasing process before this stage, please see our How to Buy from Japan guide.

Step 1: Confirming the Shipping Information

One of the first things we need is accurate consignee and destination information.

The details required depend on the transaction and destination, but it is very important that customers provide the correct information requested for shipping and documentation.

A small mistake in a name, address, destination, or document can create unnecessary work later. In international trade, accuracy is not a small matter.

Our experience has taught me that a smooth shipment often starts with something very simple: confirming the correct information early.

Step 2: Booking the Vehicle for Shipment

After payment and the necessary shipping details are confirmed, our team proceeds with the vessel booking.

Customers often ask us, “How soon can my vehicle leave Japan?”

There is no single answer for every order. Shipping schedules depend on the destination port, available vessel space, shipping line, route, vehicle type, and current operating conditions.

For operational cars, trucks, and buses, RoRo shipping is commonly used on routes where the service is available. Container shipping may also be considered depending on the vehicle, cargo, destination, and available service.

For larger commercial vehicles and equipment, dimensions can also be an important part of shipping planning.

This is why we do not believe the right approach is simply to say, “Your vehicle will ship quickly.” We prefer to check the actual situation and communicate the available schedule as clearly as possible.

For more information about shipping options and destinations, please visit our Shipping Information page.

Step 3: ETD and ETA Are Shared with the Customer

Once the booking progresses, customers receive shipping information such as:

Vessel name

ETD — Estimated Time of Departure

ETA — Estimated Time of Arrival

Destination port

Other relevant shipping information

One point I always want customers to understand is the word “estimated.”

International shipping schedules can change. Vessel operations, port conditions, weather, transshipment arrangements, and other factors may affect the final schedule.

A schedule change does not necessarily mean that something is wrong with the vehicle or transaction. What matters is that the exporter follows the shipment and communicates important updates to the customer.

Step 4: The Vehicle Leaves Japan

For many customers, this is the moment when the purchase finally feels real.

The Japanese used truck, car, bus, tractor, or other vehicle they selected is now physically on its way from Japan to their country.

However, our work does not end when the vessel departs.

Shipping is only one part of international vehicle export. Documentation after departure is also essential.

If you are looking for commercial vehicles for business, transport, construction, or other professional applications, you can also browse our current Japanese Used Trucks for Sale.

Step 5: Export and Shipping Documents Are Prepared

After shipment, the necessary documents are prepared and handled according to the transaction and destination requirements.

These may include documents such as the Bill of Lading, invoice, and vehicle-related export documents. The exact documentation can differ depending on the destination country and transaction.

The Bill of Lading, commonly called the B/L, is particularly important in international shipping. It contains key shipment information and is normally issued through the shipping process after departure.

Customers should check their required documents and local import procedures before the vehicle arrives.

Import duties, taxes, inspections, customs clearance procedures, registration rules, and other requirements are determined by the destination country and can change. They should therefore be confirmed for the specific country and vehicle rather than assumed to be the same everywhere.

Step 6: Prepare Before the Vehicle Arrives

I strongly recommend that customers do not wait until the vessel arrives before thinking about customs clearance.

Use the shipping period to prepare.

Depending on your country, this may mean contacting your clearing agent, confirming local charges, preparing customs documents, checking import requirements, and arranging transportation from the port.

The Japan-side export process and the destination-side import process are connected. Good preparation on both sides helps make the entire transaction smoother.

Shipping Is Part of the Vehicle Purchase

After more than 20 years in this business, one thing I have learned is that customers do not judge an exporter only by the vehicle they receive.

They also remember what happened between payment and delivery.

Was communication clear?

Were they informed about the shipping schedule?

Were documents handled properly?

Did someone answer when they had a question?

This period is especially important because the customer has already sent payment, but the vehicle may still be thousands of kilometers away.

That is why trust matters so much in international trade.

Different Vehicles Require Different Export Planning

EVERY TRADING does not handle only passenger cars.

We work with Japanese used trucks, Japanese used buses, Japanese used farm tractors, Japanese used machinery, vans, SUVs, and other working vehicles.

A compact passenger vehicle and a large commercial truck do not necessarily have the same shipping requirements. A bus has different dimensions from a standard car. Machinery may require different loading considerations again.

For example, customers looking for passenger transport vehicles can check our current Japanese Used Buses for Sale.

Our role as an exporter is not simply to sell a unit and leave the rest to the customer. We need to understand what is being shipped, where it is going, and what support is required for that transaction.

From Japan to Your Country: Communication Builds Trust

Technology has made it much easier to buy vehicles internationally. Customers can search Japanese stock online, view photos, communicate quickly, and make international payments.

But technology alone does not create a successful transaction.

Behind every export are people checking information, arranging shipping, preparing documents, communicating changes, and solving problems when unexpected situations occur.

At EVERY TRADING, speed is important to us. But speed should not mean rushing without checking.

For me, good service means responding quickly while doing the necessary work professionally and keeping the customer informed.

Our Goal: Right Vehicle, Right Value, Right Support

Buying from Japan should not end with finding the cheapest vehicle on a website.

The vehicle needs to suit your purpose. The total value needs to make sense for your business or personal use. And the support after purchase needs to continue until the vehicle moves through the export process.

That is the approach we want to provide at EVERY.

Right Vehicle. Right Value. Right Support.

Whether you are looking for a Japanese used truck for your business, a bus for passenger transport, a farm tractor for agricultural work, machinery for a project, or a vehicle for personal use, our goal is to understand what you actually need and support the transaction from Japan with professionalism and trust.

For me, that is what a long-term partnership in international trade should look like.

Yuichiro Watabe
President & CEO
EVERY TRADING Co., Ltd.

Browse Reliable Used Trucks & Buses from Japan

Carefully selected vehicles ready for export worldwide

Search 100,000+ Dealer Stock Vehicles from Japan

Access a wide selection of vehicles from Japanese dealers nationwide.
