Understanding Port Operations for Truck Exports

🌐 Why Port Operations Matter in Truck Export

When exporting used Japanese trucks, your journey doesn’t end with the sale—it begins at the port. Understanding how port operations work can help you avoid delays, manage costs, and ensure a smooth shipping experience.

From vehicle entry to vessel departure, the port handles critical steps that affect your timeline and budget.

🛳️ Step-by-Step Port Process for Truck Exports

1. Truck Entry and Delivery to Port Yard

Once the truck is sold and cleared for export, it’s transported to a designated port yard—typically at Yokohama, Nagoya, Osaka, or Kobe.

  • The yard must be registered with the shipping line.

  • Vehicle is checked against shipping documents and export declaration.

2. Pre-Export Inspection (if required)

Certain countries (e.g., Kenya, Zambia, Tanzania) require inspections like:

  • JEVIC, QISJ, or EAA

  • Inspections cover roadworthiness, radiation, emissions, and chassis condition.

Without this certificate, the vehicle can be denied entry in the destination country.

3. Customs Clearance

Your customs broker files an export declaration with Japanese customs, including:

  • Export Certificate (de-registration)

  • Commercial Invoice

  • Buyer’s details and destination country

  • Consignee and port information

Once approved, customs issues a clearance that allows the truck to proceed to shipping.

4. Vehicle Allocation and Loading

The truck is assigned to a vessel and voyage number. Then, depending on shipping method:

🚢 RORO (Roll-On/Roll-Off)

  • Trucks are driven onboard the vessel

  • Quick and efficient; best for operable vehicles

📦 Container Loading

  • Truck may be dismantled or driven into a container

  • Container is sealed and stacked with a crane

5. Departure and Issuance of Bill of Lading

After loading, the vessel departs Japan. The shipping line then issues the Bill of Lading (B/L), which includes:

  • Exporter and consignee info

  • Vehicle details (chassis number, weight)

  • Loading port and discharge port

  • Voyage and vessel name

The B/L is needed to release the vehicle at the destination.

🧾 Key Documents Processed at Port

Document Name Purpose
Export Certificate Legal proof of de-registration
Commercial Invoice Declares transaction value
Inspection Certificate Required for certain African markets
